Don’t give yourself a deadline

You’ve got this thing to do, it’s important, you want to do it, you need to do it, of course you’re going to put it on your To Do list and of course you’re going to put a deadline.

Don’t.

Does it actually, really, seriously, honestly, have to be done by a certain date? If you’re delivering something to a client, yes. But that is about the only time you need a deadline. If you work at a place where, say, the holiday rota comes out on a particular day and you’ve got this many seconds to get your request in, fine.

Everything else you do, avoid setting a deadline.

Don’t have a start date, don’t have a deadline date, just have the task.

Because you are going to get it done. It is on your list. You’ll write the task as if someone else is going to do it, fine. It’ll help you to say that it’s a task to do with this project or that: I have tasks for an event I’m producing, for instance. I’ll say the task belongs in that event project. If you’re using OmniFocus, you have to set a certain amount of detail in order to get the task out of your general-purpose, catch-all task inbox. (See part 2 of What’s So Great About OmniFocus.)

That task will then stay out of your way until you go looking for it. Part of using a good, trusted To Do system is that you don’t have to constantly see all your tasks because you elect to review the lot at certain times. It’s a core concept of David Allen’s Getting Things Done.

So it’s there, you don’t have to keep thinking about it, you will get it done.

If you added some artificial deadline, the task would pop up in your face on that date. But it’s an artificial deadline. A contrived one. Odds to onions, you’d see that notification and you would dismiss it. Why wouldn’t you? It isn’t a real deadline, you don’t actually have to do that now, swat it away.

Deadline notifications just became meaningless.

If you’re having to consciously stop and work out whether this deadline is the real deadline, you’re screwed.

I will spend time on my To Do tasks when I’m writing them in. Actually, no, I’ll often chuck half a thought in and then work it up into a proper task when I get home. But once that’s done, once it’s in the list, I don’t want to have to think about it until either I’m ready to do the task or it is time that I have to. Don’t make yourself have to work your list, deciding every day what’s real and what isn’t. Spend that time doing your To Dos.

Let’s turn to the phones

I swear to you that this is a thing. It really is. Just Google “iPhone home screen” and you will find literally half a dozen articles with people talking about what’s on their iPhone front page. I don’t think it’s such a big with Android users but then I wouldn’t be bothered looking. So. Maybe it’s Android too, maybe it’s everyone, maybe I’m not crazy. But I do have one thought about showing you my iPhone front screen.

Is there any better way of recommending software apps to you than showing what I actually use?

And since we’re talking about the front page, these must be the apps that I use the most. Yes. I use these to run my life. One caveat: I also have an iPad but that would be far too big a screengrab to show you. I also have a 27in iMac, but let’s be serious. You’d have to serialise a screengrab from that.

So here’s my iPhone and this is what it’s got on it that is practically worn out from the amount of use I put it all to:

Some of this stuff you know, some of it just does what it says underneath. Phone, for instance. Music. Let’s just wallop through the biggies:

Top row, second from the left – Fantastical 2 for iPhone. I’ve already talked about that and also Mynd, way down there toward the bottom, one up from Music, in Three Calendars, No Waiting. I was testing out Fantastical 2 then and also Mynd, which I’d only just realised is also a calendar. (I thought it was about meetings. It is. It’s just more.) Time has moved on and you can see that Fantastical 2 has kept its space on my home screen so I must like it. Whereas Mynd – wait, Mynd is still there. Bugger. It’s very good when it’s very good and when I need it but, oddly, I haven’t needed it much. Despite having many meetings. I’m afraid Mynd may be on its way out. I’ll think about it and get back to you. But Fantastical 2, unreserved recommendation: get it here.

Second row from the top, first on the left – Pocket. Read something here on the phone in Safari or in my RSS reader, or on my iPad, or my Mac or someone else’s PC, anything and anywhere, and I can lob it off to Pocket. Pocket is not the first Read It Later service, but it is the first that I used consistently often to save things and also to later remember that I had them and finally read the things.  Pocket is free, by the way. Off you go.

Second row from the top, second on the left – OmniFocus 2 for iPhone. Need I say any more? Can I say any more? I can? Start reading here – and bring a mug of tea. Then go buy this version of OmniFocus for your iPhone. It’s been updated fairly recently and the iPad one hasn’t so I’m havering over whether to recommend that to you. Up to a couple of weeks ago I’d have said yes even though it’s not quite as whizzy as the iPhone one. The iPad version of OmniFocus has traditionally been the best of the three – but that third one, the Mac version, that’s zooming up. It used to be very hard to use, now a vastly easier yet still powerful one is in beta and I’m addicted to it. Right now, I think the Mac one is the best. Go to the Omni Group’s website and find out about all three.

Third row down, second from left – Drafts. I don’t use this remotely as much as I would expect and chiefly because that’s Evernote right next to it. I’ve now got muscle memory that if I want to write anything quickly, it goes in Evernote. Drafts is possibly a nicer writing experience and it is definitely more flexible. Anything you write in Evernote stays in Evernote and that’s great because it stays there in Evernote on your phone, your computer, your tablet and so on. Anything you write in Drafts stays in Drafts but with one tap can go almost anywhere else. Write something and send it from Drafts to OmniFocus or to a text message or to an email. Or, I’ve just this week found out, to Fantastical. I found it tricky to set up but now it works so smoothly that I wonder if it’s even working. All I definitely do with it at the moment is jot down ideas that it then automatically appends for me to a Story Ideas note in Evernote. Get Drafts here and Evernote there.

Fourth row down, first on the left – 1Password. Actually, see today’s The Blank Screen newsletter for more details of this and then go buy it while it’s on sale. If the sale is over by the time you catch this, go buy it anyway. I paid full price, I’m happy. And buy 1Password for iOS here.

Fourth row down, second from the left – Concise Oxford Dictionary. Not only the dictionary text but also an audio pronunciation guide for many words. Every word I’ve ever tried, actually, and I’ve had this app since about 2008. I use it a lot. I wish it were upgraded for iOS 7 or even just to the stretched out iPhone 5 that I use and I wish all sorts of things, but it’s a great dictionary. Unfortunately, it is sufficiently old that I don’t think you can get it anymore. You can get many similar versions but not quite the one I know, so I can’t recommend a particular one. But do have a look at them all, okay?

Fourth row down, third from the left – Awesome Clock. I use this as a bedside analogue clock. It’s very customisable but now I’ve found an arrangement of clock face and hands that I like, I like it a great deal. Unfortunately, it ain’t around. Not today, anyway. Vanished from the App Store.

Fourth row down, fourth from the left – XpenseTracker.  That fourth row sees some action, doesn’t it? I use this for recording all my expenses. Are you okay? Did you just faint with surprise? Someone, bring us hot towels and some whisky. And tell me how much that costs because I need to pop it into XpenseTracker

Fifth row down, first from the left – HulloMail. I used to be on O2 and got Visual Voicemail. (Whereby instead of dialling in for your messages and listening to eight spam calls before you finally get to one from your client and, wait, hang on, she said a number there, bugger, where’s my pencil, you just tap. Here’s a list of the calls you’ve missed and which left messages. Tap on the one you want to hear first, you hear it first. Missed a phone number or couldn’t quite catch a word? Scrub back and forth through the recording.) It is so good that I had no idea there were iPhones that didn’t have it. Until I left O2 for 3 and despite in all other ways being far better, it didn’t have Visual Voicemail. HulloMail brings it back. It brings it back with ads and I keep meaning to upgrade but it’s a subscription and I’m not certain I use it enough. Take a look at HulloMail here.

Fifth row down, second from left – Where To? I keep wanting to call this Exit. Actually, I keep calling it Exit. And I rotate between using this and Localscope: both are easy of finding out what’s near you. I love this kind of app and I pummel mine: the first App Store review I ever wrote was for one called Vicinity and I could not get over what a stunningly great and useful idea this is. Where’s the nearest bank? Where’s a pizza place? Tap, there it is. With business details. I can’t remember why I fell away from Vicinity but I regularly bounce between Where To? and Localscope. Where To? looks very old to me and I just don’t enjoy using it as much as I do Localscope, but it’s given me more accurate information somehow. And I also understand it: I find I have to keep thinking with Localscope about where a certain feature is. But here’s Where To? and here’s Localscope: do have a look at both, would you?

Last one. Fifth row down, third from the left, Reeder 2 for iOS. This is my RSS reader of choice and I have done an awful lot of choosing. Here’s what I wrote about it when a new version came out late last year. There’s now also a Mac version in beta, which I enthused about here. But just go buy the iPhone version.

I’m worn out from enthusing.

My iPhone home screen, like everybody else’s I presume, changes a lot. You can see I’m havering over a couple of these apps. But the rest, the ones that stay there, tend to stay for the very good reason that they are very good. If you want a recommended app, this is what I recommend.

What’s so great about OmniFocus part 2: handle everything

Previously… Barely a minute goes by without my mentioning that I am life-support-dependent upon the To Do manager OmniFocus. Rather than just keep telling you why, I’m showing you how. In Part 1, you jotted down To Do tasks, you whispered them to Siri, you forwarded an email right into OmniFocus. Now you’ve got eleventh-billion To Dos and you haven’t looked at one of them. Every stray thought goes into your Inbox

Think of it, add it to OmniFocus, move on with your day. Every task that occurs to you gets out of your head and into your OmniFocus inbox. The mess in your mind becomes the mess in the inbox. Like this, this is my Inbox right now:

That shot is from the new beta version of OmniFocus 2 for Mac which, incidentally, is very good. I bunged a few of those items in there on my Mac just to show you but I know for certain that they are all now on my copy of OmniFocus 2 for iPhone:

 I hadn’t consciously realised this before taking those shots but you can see very clearly how similar OmniFocus for iPhone and Mac now are. The iPad version looks different, older to my eyes.  It’ll be updated next, after the Mac version.

But now, if you’ve read The Blank Screen (UK edition, US edition) then you’ll know that almost every one of those tasks is wrong.

“Invoice Imagine”? For what? How much? Who do you send the invoice to? Do they use Purchase Order numbers or what? To do this task quickly, to get it done and get you back to your real work, you need to take a moment to write that task as if someone else is going to do it. So I’d write it as “Invoice Imagine Magazine for Acme feature…”. It’s not a big difference but it’s significant when you’re doing a lot of invoicing. (I don’t like invoicing but I love having invoiced. Consequently I let invoices build up a bit and then I need to run through them as fast as possible. Writing the task this way means I see it, I do it, it’s done. Writing just “Invoice Imagine” means I have to go check which feature I’m talking about: what have I already invoiced, what haven’t I? It’s still small stuff yet it adds up.)

One thing: notice the ellipses at the end of that task. That’s all. Just notice. Okay?

The thing with the inbox is that you can and I do bung anything and everything in there. I’m fine with stray thoughts and hurried jottings. Sometimes it catches me out because I can’t remember what in the world I needed to call the bank about. So I should and I do try to write it always as if it’s for someone else: hence the only entry in that inbox that I would say is correct –

Set new twitter profile pages for WG and TBS

Last night I read that Twitter has emulated Facebook’s design of a personal home or profile page. I’m not that fussed but I think without it, my two Twitter accounts would look a bit bare. So I made this note and actually this morning, I did it. Saw it in my Inbox, understood what I needed to do, did it.

So all I’ll do now with that task is tick it as completed.

Why would you do anything else? It’s done, let it go. But I will do other things to the rest of the list, I will rewrite them as if for someone else so:

Apple is now allowing anyone to download early test versions of the next OS X and I’m interested so I signed up when I heard about it. But I heard about it while reading on my iPad and OS X is for Macs. Rather than go to my office, I just forwarded the website’s link to OmniFocus so I’d deal with it today.

I could do what I did with Twitter and simply get that task done and tick it as completed. But while I’m interested and I will do this, it’s hardly urgent. Doesn’t have to be done today at 9am or whatever.  But if I leave it in the inbox, it will get lost in what I promise you becomes a sea of tasks in there. On a day rushing around, I will very easily end up with twenty tasks in the inbox and I’ll probably have done five or six by the time I get around to checking the inbox. So tick, tick, tick, tick, tick, very satisfying. But that leaves 15 tasks in there and the odds are that I didn’t do them because I need to get something, ask someone, do something that can’t be done right this moment.

If you just left the task in your inbox, OmniFocus would be an ordinary To Do application.

Here’s what we do instead. I’ll show you on the iPad version but you can do this on them all and the key thing of it is that it takes me close to infinitely less time to do this than to tell you.

First, I just tap the task on my iPad and this pops up:

If this were a magazine feature, I’d have a deadline and I’d put that in the Due section. If the work was going to take me a couple of days, I’d put an earlier date in the Start one. And you can guess with Repeat: if I had to install this OS X beta every day or every month or whatever, I’d say that here.

But I don’t have a deadline and I don’t have a start date and I’m only going to do this once. Despite every muscle tempting me to put Today as the Due date, I won’t do it. I change the task name but otherwise I write nothing at all in this box: I just tap on the grey Info button to the right. That gets me this:

I don’t have to do anything here either. But I do. I have a project called Mac OS X where I bung in tasks to do with this stuff, so why wouldn’t I bung this in there too? Tap on the project field, find the project. OmniFocus shows me a list of all the projects I’ve got on but – utterly gorgeously – I can just type the bit of the name I remember. If I just typed X, it would find “Mac OS X”. If I typed the initials MOX, it would get it.

There’s an Unflagged button below this. I never use it. There’s a Move button too and I do: if it turned out that installing this OS X beta was somehow a massive job involving lots of people or oodles of steps, I could take this one task and turn it into a new project replete with its own tasks. I’ve done that. I’ve done that a lot.

There’s also that Context field up above Project. I use this to excess. But not today. Not for this task, it doesn’t need it. So let me leave that for now and, actually, let me leave all of this. Leave the Note button, leave the Attachments.

No, I can’t do it.  I won’t use them here for this task because I don’t need to but I can’t let you go without knowing about them. Here’s Contexts:

A context is where you’re going to do a task or it’s something you need, someone you need, to do it with. It’s a little tricky to paint your living room when you’re out at work, so you could make a Context called Home and mark “Paint the living room lilac” with that. Some people do.

Or you could mark a task as being a phone call. I do that: it’s usually obvious from the task name – “Call Anne to get the purchase order number” but still I’ll mark it with my Phone context. It’s quick to do, for one thing, but it also means that when my train is delayed, I can get OmniFocus to list all Phone tasks and then I’ll just start knocking them off. No need to dig into projects, no need to check anything, it’s right there in front of me so I do it.

Many of my jobs are to do with my wife Angela Gallagher and I so I have a Context called Angela. Anything I need to discuss with her when we’re both back in the evening, bung it in there and skip through it all later while I’m cooking.

By far the most useful context for me, though, is the location context. Not as in this task is to be done at Home and this one at Work, but that this is to be done when I get home. That sounds the same but I mean it literally: I have a Home context and within that I have another one called Arriving. If I mark a task as having the Context of Home: Arriving then as I pull onto our front drive, OmniFocus will remind me.

Seriously, it’s infinitely faster to do this than to talk about it.

I’ll try to be faster with Notes:

Write anything you like in here. Anything. If you get an email with a task in it and you forward it into OmniFocus, the email’s subject becomes the task’s name and the body of the email goes in notes. Very often I need to remember quite a bit about a task, more than can go in its name, so I’ll write a short, clear task name and then lob notes in here. So that I notice when I’ve done this, I add ellipses to the end of the task name. It means there’s more to read.

Attachments, I can do that even faster:

Add documents, photographs, anything you need to help you get this task done. Most common example for me: when I’m shopping for something  that’s unfamiliar because Angela likes it more than I do, I’ll take a quick photo of the empty box so that I can get the right size and type.

But you don’t need attachments, you don’t have to write notes, you can ignore Contexts for the rest of your life and never care about them.

Except, to get a task out of your Inbox, you need to set a Project or a Context. Either of them. Set either and, whoosh, that task is out of your inbox.

It’s a bigger deal than it sounds. I said that tasks get out of the mess of your head and into the mess of the inbox. Doing this with setting a project or a context, choosing to add a start date and a due date, making it repeat, including a photo, all of this gets rid of the mess. You’re not actually doing the task, you’re just changing the details, but it makes a massive difference.

It’s gone from your inbox so you don’t have to keep thinking about it, thinking about whether you can do it now or if you’ve still got to wait for Bert to return that spanner.

That’s all. But is huge. The task is there, you’re going to do it, you won’t forget, but it isn’t slapping you in the face. It isn’t making you give up the will to live because there are eleventy-billion To Dos in your inbox.

One more thing. You are better at doing jobs than you are at remembering them. If you get a task, you can do it. If you get a giant list and you have to schlep through just remembering what’s important and what’s urgent, you won’t do it.

Handling tasks in OmniFocus is about getting them out of your way. Hiding them, really. That’s what this processing through your inbox does but it also puts each task back in your head for a moment. You’re examining it like it’s a thing on Antiques Roadshow: you’re sizing up the job, whether it’s worth keeping, that kind of thing. Then you put it down in a project and pick up the next inbox tasks to appraise.

You’re brilliant at that. Whack it into your inbox, have a think about it later, tap that Done button and go get some work done. If that’s what you do, if this adding tasks and processing your inbox is all you do, you will run fine for weeks. To run longer, to never forget anything and to always get things done, you need to one more thing. I’d shock you now and say that it’s what we’ll talk about in part 3. But I’ll also surprise you now by telling you what it is. It’s reviewing. You review all your tasks just like you did when they were in your inbox. And for much the same reasons.

Fortunately, there is more to say or part 3 will be very empty when it comes out.

 

To Not Do list

We've had To Do lists. A lot. We've come up with Done Lists which are very satisfying: you write down what you did as you finish it and then looking back later is immensely cheering. That's pretty much the entire purpose of my month reviews (see That Was March 2014…). But maybe we could take a further step and write ourselves a To Not Do List.

It feels risky. Like it could end up as a kind of new year's resolution fad: I will not drink so much tea, I will not keep putting off the gym.

But it could also be a good guide. I keep reading headlines lately about the first app that people use in their mornings and I've been stopping at the headline because I don't want to find out the detail. Chiefly because I want to avoid thinking about mine.

Since you're here, I'll face up to it. My first app is email. If you don't count Awesome Clock, which I use to give me an old-fashioned analogue clock face on my iPhone all night. If you don't count my iPhone's own alarm. Then it's email. As I lurch to the loo and on to the kitchen and into my office, I am checking both my main or personal email account and my public one, the wg@williamgallagher.com address that is your best route to talk to me about The Blank Screen.

I want to stop doing this. Funnily enough, I've been training myself to make sure I check my calendar every morning and that's going fine. (See I nearly missed an event today, though I suggest you bring a packed lunch with you because that is a long, long post.) So I want to keep that new habit going, I do want to reinforce my early OmniFocus use every day.

But I have to drop the email one.

Because too often now I've woken up at 5am to start writing and been derailed by a bad email. Usually a rejection. And at that time of the morning, most rejections matter. Later on, they wouldn't, but right there and then I am somehow more open to the slap.

I'm fine with being slapped. But it also saps. There are few things worse than getting up at 5am to write but one of them is getting up at 5am and not writing. I've seen this after big projects finish when the pressure is off and I have nothing that truly has to be done then. That's a horrible time. But yet worse is this paralysing that you can get from certain rejections, when they're strong enough, when they're important enough.

All this is on my mind now because I had a rejection that would've cut whenever I read it, but it did especially stop me one 5am start.

Or it should've done. It certainly did for a time. I certainly struggled to begin working. And I didn't do the thing I was intending to do that morning. Instead, though, I worked on fiction. You know how great it is when you are reading a book and you're completely into it. Writing fiction, at times, can be similar. For whatever reason, I hit that moment that day and by the end of 2,000 words on that project, I felt better.

And I had a solution to the rejection.

Without thinking about it, without brooding on it, my noggin' had found a way around the problem.

Now, that's good. And having been able to take my mind away for 90 minutes or whatever it was, that was also good. But the solution requires other people and it requires much planning, all stuff that I couldn't do anything about at 7am that morning.

So if I'd just put off reading the emails until, what, 9am, I'd have had four hours solid work done, I'd be far less prone to the rejection paralysis and when my head came up with a solution, I'd have been able to do something about it right there and then.

Top of my To Not Do List, then, is this: I will not check emails first thing in the morning.

If you don’t already use Evernote then, fine, that’s your choice and maybe at some point you could check it out on the official site. It might be great for you.

If you don’t already use OmniFocus, proceed directly to The Omni Group and buy it now. It might be that you have to buy an iPad or an iPhone or Mac but it will be great for you.

But if you’re one of the many of us who use both – actually, use isn’t a strong enough word. Let me try again. But if you’re one of the many of us who live in both, then you want this:

Let’s talk about two popular programs: Evernote and Omnifocus. Omnifocus excels at managing tasks but it is weak in storing lots of information. Evernote is weak as a task manager but excels at storing lots of information. If you use them together, they should solve all your productivity problems… right? Unfortunately, it isn’t that easy. You have two separate systems that do not automatically work together. It is up to you to figure out how to do that and this is usually causes problems for some.

For example, if you store something in Evernote, how do you make sure you will revisit that information at some point in time? The obvious answer would be during your weekly Omnifocus review. However, that means you need to create a task in Omnifocus to remind yourself to review that note in Evernote. This is where the hiccup is – that extra step that people tend to forget. Fortunately, we have a script that will automatically transfer notes to your Omnifocus inbox. You will never ever forget information in Evernote again.

It takes some setting up and the full article is very detailed but I’m off to use it now.

Is it a task? Is it an event? No, it’s… er… um…

I was in a meeting last night and was told I had to do something – but only if certain other things happened. Broadly, if any of these things go wrong then I have to do this or that or the other depending on what and where and when.

It all makes absolute sense but it makes sense to me now. I don’t know that it makes so much sense that I will remember it in a year’s time when one of these things goes wrong.

Plus, I got into a state recently because my OmniFocus To Do list was so full of stray ideas and stuff that I will never get around to that I wasn’t getting around to the stuff I needed to do. I was seeing trees instead of wood. I was feeling like I’d lost all control of everything. And while I’m back now, while it feels great to be on top of it all once more, the road to that misery is to bung in things that you shouldn’t.

And I don’t know. I can’t put this particular instruction in my calendar, that’s obvious. But I can put it in my task list. Yet if I do, when exactly do I tick it off? Possibly never, certainly not for a month, probably not for many months. It would sit there forever, really.

This is starting to happen more and more. I don’t know how I’ve coped with it before, I’m not sure that I have coped with it before, but it’s happening now and I need to deal with it now. So what I’m trying is this: I’m creating Evernote notebooks devoted to the organisation or the project. Those instructions are now one note that will stay in Evernote forever. Because that’s what you use Evernote for: it’s for remembering forever. And if I never look up the notebook again, it’ll be because I don’t need to. Fine.

But will this work? It sounds sensible to me. Except in a month or a few months or a year or if ever this thing goes wrong, then will I remember that I have these Evernote notebooks?

I should add a task to OmniFocus that says “Check the Evernote notebooks you created in order to not have tasks in OmniFocus that you need to check”

Three calendars, no waiting

Thanks. I was thinking about how we use calendars and how I have been working to use mine more but there was one exasperating thing. Yet just working out how I would describe it to you may have solved it for me. May.

It’s Fantastical 2. I bought this for my iPad and it sits there right alongside OmniFocus so I can and do work all my tasks and times together. It’s working so well that I’ve been using my ancient copy of Fantastical 1 for iPhone too and this week just bloody well caved in and bought the update to Fantastical 2 for iPhone. Still can’t tell you what the functional difference is but I like the look of it and I like paying for something I am using a lot.

Only, I have had to keep Apple’s Calendar app around too. On both iPad and iPhone, I’ve needed that because event invitations have come in via it. I’ve got notifications of event invitations and had to open Apple’s Calendar to see what they were and to say yes or no. Then I’ve closed Calendar and by the time I’ve opened Fantastical, the accepted event is in place.

That’s just a chore, though. Clearly I would prefer event invitations to come up in Fantastical and save me that trip out to another app and back. But before I said that to you here, I fact-checked like a proper old-fashioned journalist and it appears I’m wrong. It appears that Fantastical accepts invitations and that you can say yeay or nay right there. I cannot see how and I cannot see why it hasn’t happened before. Could you send me an invitation so that I can try it out? But  I am now convinced it’s true because there’s evidence on the internet. (That never goes wrong.) Evidence including screen grabs of it in action.

Mind you, the reason there are screen grabs of Fantastical showing event invitations is because people have been asking why it doesn’t or how the hell it does. So I’m not alone and if I am not yet fully imbued with the knowledge of how to do it, the next time I get a calendar invitation I will take a little time and figure it out.

If that happens, I don’t need Apple’s Calendar any more. Not on my iPhone and iPad. It’s still the calendar I use on my Mac: currently Fantastical for Mac is a menu drop down and I think I heard it may become a more fully-fledged app so while I continue getting used to it, I’ll stick with what I’ve got.

You can’t get rid of Apple’s Calendar on iPhone or iPad, it cannot be deleted. But you can bung it in a Apple folder alongside the weather and stock apps that you never use.

But Calendar and Fantasical. That’s two calendar apps.

And I did say I use three.

I’m using Mynd on my iPhone. No matter what, I would have to use something else on my iPad because Mynd is iPhone-only for now. But as I’ve mentioned before, I did not appreciate that it is actually a full calendar app. It’s just so useful for telling me the very next thing happening and a slew of rather spookily great extra features to help each meeting or appointment go well. But it is a full calendar, you can do everything you do on Calendar or Fantastical. (I don’t know about event invitations. That’s another thing I’ll need to try. Could you hurry up with that invitation? Is that too much to ask?) 

So not only do I have three calendars on my iPhone, two of them are on my front page, the home screen.

It feels wrong, it feels like a waste of space on that screen and it feels like an unnecessary division of mental effort. But I don’t think to use Mynd unless I’m going to a meeting and want all its extra gorgeousness for that one particular event.

Similarly, Fantastical 2 has a lot of features for running your To Do list and I so much, so completely fail to think of Fantastical for tasks that I even tried to switch that off. You can deny Fantastical permission to access your Apple Reminders list but if you do, I found it also wouldn’t let me enter any events. So with reluctance, chagrin and some annoyance, I allowed Reminders and just choose to never use them.

Why would you use Apple’s Reminders either directly or via Fantastical when you have OmniFocus?

Funny: OmniFocus has a calendar in it. Yet I use that. I use it to glance at the day and see how much is going on.

I should get a Venn diagram going here of how these four apps (Calendar, Fantastical, Mynd, OmniFocus) overlap and what I do and don’t use in them.

Or I could just get a life and accept that where I used to eschew all calendar apps, I now have three.

I nearly missed an event today

And I have fallen behind on a project I am very keen to do.

I am compelled to make an excuse about the event, at least. It’s one that was rearranged to this afternoon, okay? And I caught it when I checked my calendar at 5am this morning. So when I say I nearly missed it, it’s not like I spilt my tea and had to run for the car. But somehow even though I want to go to this, and I will go to it, for some reason it wasn’t on my mental map of the week.

This is happening to me more often now and part of it is how I think my business is in a bit of a transition. Previously I was almost completely task-focused: I had this enormous list of things to do. It wasn’t event-based: I didn’t have a lot of meetings, for instance. Now I tend to run more talks and workshops – I did ten sessions in March – so my calendar is more important than it was.

I vehemently refuse to join up my tasks and my calendar: To Dos do not belong on certain dates. Or at least, they rarely really do. If something has to be delivered on Tuesday, you could put that on the calendar, fine. But do you then put a date on there that you’ll start the job too? Odds are, you won’t start it then. Instant failure. Instant unnecessary failure. Put the flexible start date in your To Do list, if you must, put the deadline in there too and then everything to do with that task is in one place.

I have zero question about this, absolute zero doubt. If you’re looking at me now thinking you’re not so sure, the strongest chance is that I have failed to convey to you why I think this. That’s how sure I am that I’m right. This is a rare feeling: let me have it. (Unless you really do think I’m wrong and you can tell me. I would prefer to know.)

But right or wrong, it is how I am working and today that isn’t working. So I’m taking steps.

And this has become a kind of live blog as I try to get a handle on it all. The aim is to get back on top of everything and to be creating new work, producing material, instead of losing most of my time to managing it all. And I know that the way this will work for me is in software. That’s just easily obvious because of prior experience. So taking a step back from that overall aim, I think that I can have two contributory aims:

1) Restore my previous excellent grip on all my tasks
2) Find a way to cope with my newfound extra need for handling events

The shorthand for number 1 there is OmniFocus. Much as I love that software, much as it as truly transformed my working life, my copy of it is a mess at the moment.

I think the shorthand for number 2 would be Calendar plus a regime of checking it. I do currently have a task in OmniFocus called “Check calendar for today and week ahead”. That repeats every week on Mondays, Wednesdays and Fridays. I’m not sure why that isn’t working, then. I don’t want to make it a daily task but we’ll see what happens. Okay, it’s 07:47 and I’ve decided to temporarily make checking my calendar a daily task for Monday to Friday.

And I’ve just downloaded the new Fantastical 2 for iPad. I’ve been reading about this since its launch yesterday and I’ve been reading about its iPhone version since, oh, just about the day I bought Fantastical 1 for iPhone and had it superseded. I agree with the consensus that Fantastical is a good, strong app but for me it wouldn’t stay, I didn’t keep using it on my iPhone because I just found the standard Apple calendar better. Not in features, not in ease of use, but both of those are fine and the Apple one has the killer feature that it can include the current date in its icon. I struggle to believe how often I have to check today’s date but with that right there, job done. With Fantastical, I had to go into the app. Job not done.

But Fantastical 2 can show the current date as a red badge notification on its icon. I’m hoping that will be enough for me because I like what I see about the rest of Fantastical. I like how it feels holding your month and week in your hand, seeing the shape of it all. I’ll play with this and try to get it into my habitual working pattern. If it doesn’t work, I’m out £6.99. If it does, I’m out a lot more because I can see me buying the iPhone update and the Mac version too.

For now, though, at 07:52, let’s say that my second aim is at least addressed if not necessarily solved.

So it’s time for aim 1: OmniFocus.

This is going to take some time. It’s going to be a huge change for me. I’ve let OmniFocus sprawl a bit too much, I’ve let it become a repository for everything in my life. Things I want to read, for instance. I save those to Pocket but I often send them straight into OmniFocus: maybe they relate to a project, maybe I just want to remember them and OmniFocus’s mail drop service is too handy. Whatever the reason, I need to use Pocket and Evernote more, and to keep this stuff out of OmniFocus. That’ll take some re-training. But I’ll create an Evernote notebook for it all and get into the habit of using the Evernote equivalent of mail drop.

But things have also changed in my business and life. I am very pleased to say that I am still on Room 204, a Writing West Midlands development programme, but I’ve finished the formal, official year there. So about a year ago, I created OmniFocus projects to do with Room 204 and the eight separate things I was doing with them. I’m still doing them, I’m still doing them with Writing West Midlands, but the Room 204 projects need to go.

I’ve also got very lazy. If a great benefit of OmniFocus is that you know what you need to do now, that works because it hides from you everything you don’t need to do now. Only, for that to work day to day, you have to often review absolutely everything: go through all your tasks and see what’s done, what isn’t but can be, what will never be done and should be deleted. The idea is that you work through every task and you spend time on every task. This is more than an idea, it’s a principle and I have found that it works brilliantly for me.

Except lately.

Lately, I’ll do the review process and see – wait, let me try it right now – okay, I only have 12 projects review. Last time it was 67. (You set this project by project. You have to review everything but one project is my shopping list: I’ve set that to be reviewed once a year. Other stuff has to be reviewed every day.)

Especially when I’ve got 67 projects ahead of me, I’ll look at the list and I won’t patiently dwell on each separate task. Rather than do them right there and then or consciously test the task – why isn’t it done? what do I need to do it? – I just think yeah, yeah, haven’t got to that yet. And then I move on.

I can’t let that continue because I’m missing things and I’m not getting stuff done as much as usual.

So. It’s 08:03 and I am going to pull out the list of projects. I’m going to do a MindNode mind map of everything I actually have to do and compare that with what I’ve got. It’s slate-clean time.

Later…

Four days later. That is a hell of a slate-cleaning. I would like to point out that I did have that meeting to go and then there was something else on Friday, plus I worked the weekend… and all the way through, I was thinking of this. Right now, Monday at 12:12, I’m happier and I think I have proof that I am.

Let me tell you the proof first: I have no overdue tasks in OmniFocus.

And only 16 more things to do today.

It’s funny but having overdue tasks was proving to be a huge weight. It’s not really funny because it isn’t funny but it also isn’t funny because that’s how things used to be. That’s how they were before I moved to OmniFocus. Maybe it was worth letting things slide because I am reminded with extreme gusto that I do not ever want to feel this weight again. It’s paralysing: you feel you can’t clear that backlog, that there’s no point doing anything more.

So you now you’ve got to know how I did it. And it turns out I was right: it was a two-step thing.

The first was the Calendar and it was Fantastical 2 for iPad. I found that I still had Fantastical 1 for iPhone and I’ve been using that too – I’m honestly not sure what the difference is beyond some obvious aesthetic ones – and the combination has been useful. I’ve had to train myself to turn to my iPad whenever something comes up that needs me to look at my Calendar: even if I’m at my Mac, I turn now to the iPad for this. It’s not a habit yet but it’s becoming so and each time Fantastical does something clever, I am that much more sold on it. The most specific clever thing it does is accept natural language statements: typing “Lunch tomorrow with Steph at Birmingham” pops all the details into my calendar in the right spot. It reckons lunch is 1pm and actually I needed to change that but it was easy enough. But it new Birmingham, actually it knew the more detailed place name I put, and it knew what day tomorrow was. It’s very satisfying entering an event like this because it parses what you type as you type it: you see the place name flying off to that section of the appointment, you see the time going there too and you can see the calendar zipping along to the right day.

Also, it turns out that having today’s date as a red badge notification means that my muscle memory automatically makes me open the calendar. See the badge, intellectually know that it’s the date, but still open it as if there is something I need to be notified about. It’s made me open the Calendar about thirty times since last Thursday and as irritating as I suppose that is, it’s helping me to reinforce this new habit of using both Calendars and OmniFocus.

The second thing began with the way that a friend pointed out how casually I had planned her working year for her in a chat one day and she was back now with a pen to do mine.

Terrifying.

And we didn’t finish. But we’re still in play and I’ve been taking her advice to heart. That coupled with the most massively tedious reorganisation of OmniFocus has all proved part of it.

I’ve been using the new OmniFocus 2 for Mac beta because it’s the quickest version and also, I now think, the most pleasant to use. But this reorganisation meant replacing every old project with an entirely new system, then seeing what fitted the new plan and what did not. I have very ruthlessly and with only a little blood deleted gigantic chunks of tasks because I haven’t done them and, William, I ain’t going to. So they’re gone. Kiss ’em goodbye.

I did a MindNode map as I told you and this is how that looks. You know I can’t let you see the details, there’s plenty of confidential stuff in there but this is the shape of what I was dealing with.

Look at that mass of colour in the bottom left corner. The centre word there is ‘Kill’ – these are all the entire projects I deleted as part of this reorganisation. The smaller blog of colour is a set of seven other projects that I have taken out of OmniFocus and put into Evernote: they’re all research jobs, all reading ones where I was amassing things to read but no actual tasks yet.

Then the rest is everything I am in fact going to do. The central word, the white blob around which all the rest of the colours flow, is “OmniFocus”. And that’s apt: this app is that central to everything I do.

I still need to work out a system for tying those Evernote documents in to the tasks as they come up. It’s easy enough technically, you copy one thing from Evernote and paste it into OmniFocus – or vice versa – and are thereafter just a clicked-link away from either. But it’s the mental system that’s hard, the decisions I need to make about putting stuff in OmniFocus or in Evernote.

Similarly, if I get an email from you with a task in, you can bet I forward it on to OmniFocus but when do I then archive that email, when do I put it into my Follow-up inbox to make sure I see it? For that matter, when do I only put it into Follow-up, when do I not bother making it an OmniFocus task?

I’ve still got to work all that out but it will come and right now, I’m exhausted yet much happier. I mean, much. If you’ve read this far, you’re a mensch and I want you to take away this single point: getting on top of everything you have to do – just getting on top of it, not necessary even doing it all – makes you feel infinitely better.

What’s so great about OmniFocus part 1: get it in

No enthusing, no evangelising, just straight showing you. I talk about the OmniFocus task software a lot because it means a lot to me and now that a new Mac version is an inch away, one of the barriers to universally recommending it is gone. (There is still the fact that it solely runs on Macs, iPhones and iPads. So Windows, Unix and Android users are out of luck. But I honestly think this means you’re out of luck. OmniFocus is that good.)

Ahead of a video covering this that will be out in time for the official launch of OmniFocus 2 for Mac, here’s the first of a short series.

Before you can do any task, you have to think of it. If you think of it and you can do it right there and then, do it right there and then. But if you can’t, then you need to keep that task. You have to be sure you won’t forget it.

Here’s how you do that in OmniFocus.

Actually, here are the many, many ways you do this in OmniFocus.

1) Type it

In OmniFocus for Mac, iPad or iPhone, just type in your task and hit Save. The iPhone version has a nice button called Save+ which saves the task you’ve just typed and gives you a new blank one to start typing the next one in.

That’s the tiniest of things yet it makes a big difference. You know you’ll whack through entering tasks because of it so you do, you whack through tasks. You don’t think of it as a chore, so you don’t put it off.

There’s a lot of speedy little aspects like this. Most come later when you’re sorting through tasks and thinking about them, but for just straight getting that task out of your head and into a system you know will keep it for you, OmniFocus is very strong.

On the Mac version, you can enter a task whatever you’re doing, in whatever application you’re using. Tap a couple of keys and you are entering a task into OmniFocus. Hit return and that task flies off to OmniFocus while you carry on back with your other application.

2) Say itiphone reminder

I probably come up with most of my tasks while I’m driving. So I tell OmniFocus. I say it aloud.

OmniFocus works with Siri so I can say aloud “Remind me to phone Angela when I get home” and it will go into OmniFocus. (And when I get home, ping. Location Reminders are a stunning thing. Apple introduced them in its Reminders app, every decent To Do software has followed along.)

Slight problem. You do this via Siri and so after you’ve said “Remind me to take a screenshot for the OmniFocus blog post”, Siri will say aloud “Here’s your reminder. Shall I create it?” But because I’m driving, I can’t look at the screen to see what it thinks I’ve said. So invariably I say yes.

Usually it’s got it right. Sometimes it is astonishing what it has got right – or strange what it’s got wrong. But once or twice now, I have got home, looked at my OmniFocus reminders list and had not one single chance of figuring out what was so important.

3) Email it

An email comes in with something I need to do. I forward it. Straight into my OmniFocus list. The end.

I’ve just looked into this and it turns out that I have used this feature three times a day since it was introduced in December 2012. That’s 1,411 and I have to tell you that I am astonished it is so few.

Email after email, wallop. Straight in to OmniFocus.

If an email includes several things I have to do, which is common, then I could forward the same email several times. Or I could select a portion of the email, then hit forward – and it only forwards that section. This is a feature of OS X Mail and probably most email services but is especially handy here. Select one task in the middle of the email, press Forward, enter my OmniFocus email address and maybe change the subject heading to something about the task. Send. Gone.

The time it took to say that to you far exceeds how long it takes me to do it. Especially the bit about entering my OmniFocus email address. You get given a secret address, you add it to your Contacts or Address Book, and ever since then I just have to start typing the letters “Om” and Mail fills out the rest for me.

 

I use all three versions of OmniFocus: Mac, iPhone and iPad. And I use them because they work even better together than apart – and because having the three means I can record or capture any task that enters my butterfly mind. Wherever I am, whatever I’m doing.

Next, I have to actually do some To Dos.

How to pick the right To Do app for you

Let me do the joke first: if you have a Mac, iPhone or iPad, buy OmniFocus. That’s it, we’re done, thank you for coming, I’m here through Friday, two-drink minimum, see your waitress for details, try the veal.

OmniFocus is so good that I’ve been asked whether the makers pay me to say that. And I really would offer it up as the one-stop, suits-all solution except that you can’t just stop once and it doesn’t suit all. It’s pretty close. Two things held me back from recommending it universally and one is that the Mac version has been hard to use. I’m sure I can’t say anything in detail about the beta release of OmniFocus 2 for Mac but I will certainly tell you that it is really good and much easier to use than it was. I’m saying easier, I’m not saying easy. But OmniFocus 1 was always worth the effort it took to learn it, OmniFocus 2 gets you its powerful features much more readily and clearly.

The other thing that has held me back from universal recommendation, though, hasn’t changed. And it won’t change. OmniFocus only runs on Macs, iPhones and iPads. There’s no Android, Linux or Windows versions and seemingly there never will be. I’m fine with that. Better the company stays great on one platform than it becomes okay on a few.

But it does mean I have difficulty recommending To Do apps. Actually, I won’t blindly recommend specific ones – not even OmniFocus when it comes down to it – because everyone is different and the best I can do is point you to some great and good To Do apps. In my latest The Blank Screen workshop, I discussed specific To Do software and hit a snag. To Do apps for iPhone: legion. To Do apps for Android: myriad. To Do apps for Windows Phones: hello?

Try this yourself. Do a google search on “best to do apps for Windows Phone”. You will get many results and several will be articles that state they include such things as To Do apps – but they don’t. I’ve read many top tens, top twenties, top something else and found not one single To Do app in there.

At the other end of the scale, if you have an iPhone, you’ve already got a good To Do app. It’s called Reminders and it’s very basic but what it does, it does very well. Reminders invented the Location Reminder idea – the way that when I leave a certain client’s office, my iPhone will tell me to send them an invoice – which I think should be mandatory now for all To Do apps.

Mandatory is a hard word. To Do apps are also a great example of when the word specifications is bollocks. I do recommend that you try many different apps but if, in so doing, you decided to write up a spec sheet of what they all did, it wouldn’t help you. Remember the Milk would score high for being on the web as well as Macs and iOS; OmniFocus would score low for being limited to Apple’s gear. Yet Remember the Milk isn’t right for me and OmniFocus is. Though I love the name Remember the Milk.

You can’t quantify experiences like using the right To Do app. But you can try.

Picking the right To Do app for you means testing out a lot. But you can limit how many you have to try or buy with this one simple thing: don’t look at a To Do app for mobile phones and tablets or for desktop Macs and PCs or for using online, if it doesn’t have Start Dates. These may be called something else like Defer Until (that’s what OmniFocus calls them and I don’t like that). But when you enter or edit a task, you must have the ability to prevent yourself seeing it until you need it.

Follow. I’m doing The Blank Screen at the Stratford Literary Festival in May. I do not need and I do not want to see that on my To Do list until it’s time to prepare for it in about mid-April. So I don’t. “Prepare presentation for Stratford” is in my To Do list but it has a Start Date of 15 April and until that day, I won’t see it. I can look for it, I can see it when I review all my tasks, but each day as I look to see what I’ve got to do, Stratford will not be one of them – until it’s supposed to be.

Start Dates are as vital as Due Dates and if you use them, they are gold. But even if you don’t and never will, the fact that an app has them is a good indication that the app is powerful. Maybe you don’t need powerful features, probably you do, but it’s better to have them available, isn’t it?
