My favourite iPhone and iPad app…

…is really two separate apps in that you have to buy them separately. And in that one came out in this latest, great version late last year while the other was only a few weeks ago. But it’s already become so indispensable that I had to check the release date twice before I’d believe it was that recent.

The 2014 release was for the iPad. The 2013 one was for iPhone. There was also a 2014 one for the Mac. Are you getting it yet?

That’s OmniFocus 2 for iPad there. If I could pick only one app for the year, this would be it. If you can only afford to buy one version of OmniFocus, it’s the iPad one you should get. Both decisions are easy: it’s that good.

But for the overall best-app-ever experience, I do of course recommend you get all three editions. I used to say that this To Do manager was so good, was so important to my business and frankly my life now that I would cheerily, readily pay the cost price of all three over again. I don’t say that so much now – because I did do. The Omni Group brought out new editions of the Mac, iPhone and iPad OmniFocus and I bought the lot on the day they were released.

And I will again whenever they do OmniFocus 3.

Review: OmniFocus Video Field Guide

David Sparks writes a mean Field Guide book: I’ve read his work on going Paperless, on using Email and on giving Presentations. All good enough and interesting enough that his announcement of a video version was enough to be news. That it was a 150-minute video about OmniFocus made it a recommendation. And the fact that you could and can watch a sample segment from it on Sparks’ official site made it a certainty that I would tell you about it.

And a fair certainty that I’d buy it for myself.

Now that I’ve bought and seen it, though, there is more to say. If you do have OmniFocus then unless you’re so good that the Omni Group employs you, then it is easily obvious that you will benefit from this video and enjoy it a lot.

If you’re at the stage of looking into OmniFocus, of looking into To Do apps of any kind, that’s a trickier thing. It’s 150 minutes long but it doesn’t hang about: it gets very specific, very quickly and I enjoy that, but I don’t think it doubles as a selling tool. No reason it should, but if I were back at the point where I was trying to decide whether to buy OmniFocus, I think you need something more first.

Maybe not much more. Try the videos on the Omni Group official site: they’re adverts, of course, but they give you the flavour of the software. And if it looks good to you, try a couple of YouTube videos about it. Then buy OmniFocus and go buy David Sparks’ OmniFocus Video Field Guide for $9.99.

I would tell you that I am an expert OmniFocus user but it’s a lie. I am expert at the specific bits of it that I use daily. (Hourly.) (Minutely.) David Sparks knows the whole thing and now shows it to you.

He’s done this before with the original OmniFocus in a whole series of screencast videos but now he’s done it more in the form of his Field Guide books. These are all very good, very excellent books that seem to cut through complex issues and just tell you what’s what and what you need to know now. Somehow they are that relaxed and yet by the end you know everything. The books are particularly fine pieces of work and now there’s a video one for OmniFocus.

It’s about all the versions from Mac through iPhone and iPad. And it’s 2.5 hours of video: 150 minutes. You can watch a sample on Vimeo or just go buy the whole thing from Sparks’ site here.

As expert as I think I am, I know about this new video because I’m on the guy’s mailing list and it can’t have been above four minutes since I got the email, checked the sample, bought the whole thing and came here to tell you.

“Why I Left iCloud Reminders for Todoist”

I’m just after telling you that Things is briefly free now on iOS and I was thinking of saying it’s the second-best To Do app on Apple gear. But there is this: Todoist. I’ve used it and haven’t in fact got one single pixel of a memory of what I thought about it. But MacStories writer Federico Viticci is a fan and a compellingly persuasive one.

In a three-biscuit long article, he talks about how Apple’s Reminders turned out to be much better than he’d expected yet eventually he had to move on:

Reminders isn’t built to scale for people who manage dozens of projects and collaborate with others to assign tasks and keep track of due dates. It’s not Apple’s fault – it’s right there in the name: Reminders. It’s not called “Projects” or “Todo Pro”: Reminders is a lightweight list system with support for dates, alerts, and lists shared with others.

I guess it was naive of me to think that, with a growing business and changes to my personal life, I wouldn’t face an increased amount of responsibilities. Reminders couldn’t keep track of the new complexities and people in my life. I started forgetting about things I needed to do; sometimes I forgot to mark tasks as done so other people wouldn’t know what my status was; and, other times Reminders wasn’t working for them but I was forcing them to use it because “iCloud never had issues for me”. Both the Reminders app for Mac and Fantastical for iOS were overflowing with assignements and notes that were hard to find and that just kept piling on each other day after day.

Very important: Things for iOS is briefly free

Stop reading this and go get both the iPad and the separate iPhone version of Things on the App Store.

Are you back? Things is important because it’s a very good To Do manager and I don’t believe it’s ever gone free before. I could be wrong, but To Do apps fall into four tiers that they generally stay in. There’s your free ones, your low-price, your higher price and your OmniFocus.

To my mind OmniFocus is the best by far and what it does for me is worth an awful lot more than its asking price. I used to say that I relied on OmniFocus so much that if I had to pay the money again, I would. I don’t say that any more – because I did pay the money again. New versions came out and I bought them faster than you can read this sentence.

But.

Before I found OmniFocus, I very strongly considered Things.

In its favour, it has a great name. I’ve got Things to do. Sold. I am a sucker for a good name and this is a good name. Then it seemed to me that it was more powerful than anything else I’d tried up to then and at the time I was moving to needing something with much, much more oomph. I had so much more to do at that point and actually it’s only got worse.

Also, Things looks great. Today I’d say OmniFocus looks very good and even if it didn’t, the look wouldn’t be enough to make me switch. Right now, this minute, nothing is enough to make me switch. But you spend a hell of a lot of time in your To Do app so the look – both in terms of its aesthetics and in how it works for, what you press and what you tap – that’s important. You can’t quantify it but you also can’t deny it.

In the end, I think I tried the Mac version and it just didn’t take. Not for me. I wish I could tell you why, I wish I could point to something. I can with the iPad version that I’ve just downloaded and played with: there doesn’t appear to be a way to set a start date for a task. A deadline, sure, but not a start date. I regularly now have work that is scheduled months out and while I need to plan for them, it’s unproductive of me to plan now, to plan the day before, or to have a reminder every day in between. So I tell OmniFocus that my planning task should first show up on my list about a week or a fortnight before the due date. Can’t see a way to do that with Things.

Sometimes this stuff can be a bit buried under preferences and suchforth so I could be wrong.

And I told you I just downloaded this to play with. I did that to get you the screenshot above and to see what Things looks like now, a few years down the road. Why not? It’s free.

Until 28 November.

Because the reason for this rare free-dom is that Apple has chosen Things as its app of the week. Come next week, something else will go free.

So go grab Things right now. Remember that the iPhone and iPad ones are separate, they’re not universal. So grab them both right now. Even if you haven’t the time to play with them, grab now and you can use them tomorrow, next week, next year, whenever you have a minute or a need.

If Omni makes, it’s worth a look

Thanks. For some reason I read that, I understand it, but I forget it. And the next time there’s a new version of OmniGraffle, I get to wondering: what in the hell is OmniGraffle?

It’s not for me, that’s the other answer and it’s the explanation. I don’t need graphics like this, I don’t create them, I can’t create them. So in my productively-focused brain, it wouldn’t get into my head and it wouldn’t get a spot on The Blank Screen. But it’s by the Omni Group.

I am wedded to this company’s To Do software OmniFocus. If it ran on Windows and Android, I would skip a whole chunk of my workshops and just recommend OmniFocus to everybody. As it is, I recommend OmniFocus to everybody. Buy a Mac first, if necessary.

Then if I’m wedded to that, I’m having a fling with OmniOutliner. This is the outlining software that changed my mind about outlining. I used to do it solely when contractually obligated. Now I am still an explorer on the page but if I have to do anything quickly, I whack down some thoughts in OmniOutliner and let them grow until they find their own form. I’ve done books like this. Interviews. Events. I’ve done things where having juggled the outline around until I’m happy, I’ve then sent that outline directly into OmniFocus where it’s become a whole series of tasks.

I am now planning a lot more events and I’m toying with OmniPlan chiefly because it’s made by the same firm. So when the Omni Group announces a new version of OmniGraffle, I notice and am compelled to tell you about it. I’m just rubbish at actually telling you anything about it. OmniOutliner, OmniPlan and OmniGraffle coming to iPhone

They’ll join OmniFocus, which I may have mentioned one or a thousand times before. There’s no timescale yet but the Omni Group is looking for beta testers for the apps:

There’s not a lot more detail in the full piece but it does include instructions on how to apply to be a beta tester. I think that 1,000 Apple-imposed testing limit will fill up very quickly so go take a look now if you fancy it. I’ve applied but I only really know OmniFocus: as much as I use OmniOutliner, I’d say I’m a very basic user of it. I’m looking at OmniPlan but haven’t even glanced at OmniGraffle.

So for me the news here is that at some point soon we’re going to have OmniOutliner on iPhone and that’s big.

You have to suspect that this move is related to the bigger screens of the iPhone 6 and iPhone 6 Plus. I’m currently sticking with my iPhone 5 so I’m curious to see both how these apps work on that and whether their presence will change how I use the iPad versions.

Speaking of which, the iPad versions of OmniFocus, OmniOutliner, OmniGraffle and OmniPlan are available now. There’s also the iPhone version of OmniFocus and there are Mac editions of the lot too. Those Mac ones are available in the Mac App Store but I recommend getting them from the Omni Group’s official site.

Using OmniFocus for meeting agendas

This is entirely stolen from Asian Efficiency: I just read this on there and it’s like they knew what I needed. I now run a particular regular meeting for the Writers’ Guild. More than other meetings, this one seems to have tasks that keep coming up: generally things I have to tell the committee, things they’ve asked me to discuss, that kind of thing. And I’ve struggled a bit because I have an OmniFocus project devoted to the Guild and it’s already pretty long and big and messy. I was thinking of turning that into  folder with some kind of General Writers’ Guild Bits project and a Things for the Meetings kind of project.

But that idea is about as ugly as the names I was giving them. And as I pondered ugliness versus efficiency, I read this:

The easiest way is to set up a single action list called “Agenda” and you dump all discussion items in there. So whenever you have an idea, you can either dump it into your inbox or immediately move it to your “Agenda” single action list.

If you want to elaborate a little, use the notes section of the task where you can freeflow and type all your thoughts about a particular agenda point (on desktop, click on the paperclip icon on the right or press CMD+’ (apostrophe)).

The next time you have a meeting, pull up the “Agenda” list and simply go through each point you have in there and check things off. It’s that simple!

How to Setup and Use OmniFocus as an Agenda for Meetings – Thanh Pham, Asian Efficiency (26 March 2014)

Do read the whole thing, would you? It’s written in a way that’s hard to usefully quote but easy to read: it’s an article based on a discussion that took place in Asian Efficiency’s paid-for premium service. What’s convinced me is the Socratic way it builds up into a picture.

Is it worth automating your work?

I now write a lot on here via Drafts 4 and there’s a thing that used to take me three steps that now takes one. (If I’m quoting an article, I would take three trips back and forth from my browser to where I was writing the story: once for the big quote, once – if I’m lucky – for the title, author, date and name of the site and then once more for the website URL address. Now I copy the author and date while Drafts 4 grabs everything else and then pops it all into a new article in precisely the sequence and layout I like.)

Call it three steps I’ve lost: two of the copying-and-pasting ones plus one for the layout. Quotes on The Blank Screen are always indented and followed by a block that has the title, author, site plus date and is a link to the original. Also, somewhere in the rest of the article I’m writing I will direct you to read the full piece on the original site. Drafts 4 gives me a typical “read the full piece” line of text and makes the words “full piece” be a live link to that original. I will change that sentence eight times out of ten but it’s there waiting to be changed.)

It shocks me how much speedier I am having got rid of these two or three tiny little steps but I am and it is vastly more so than you would predict by just removing the time they took. Part of it is concentration: the steps were clear and simple but took skipping between apps and in the time that would take, my mind would wander.

So I do resist trying to quantify how much time an idea or a method or an approach will save me and, given how fast I type, I am deeply suspicious of even the great TextExpander‘s claim that it has so far saved me 229 hours typing since 19 June 2013 when I bought the thing.

I’d like TextExpander to give me a clue how long it took me to set up the various little snippets of text that it will expand out for me. And I’d like to know how long it took me to setup Drafts 4 exactly the way I want. It wasn’t trivial: I think Drafts 4 is remarkable and remarkably easy to use but I set it up for me through a fair bit of trial and error. If you told me I spent two hours setting it up, I’d believe.

And I’d think that worth the time because such a small change has made an enormous difference to me. Many automated things have made a big difference, I’m really only surprised that I don’t do more. You know about Drafts 4 now and TextExpander, but there’s also IFTTT. Every time a story is published on The Blank Screen, a copy gets added to an archive in my Evernote account. If you say something lovely about me on Twitter, I’ll tap that little Favourite button – and without my doing anything else, I know your tweet has been saved for me to another Evernote document. I seem to use Evernote a lot.

OmniFocus. I live in OmniFocus. I think the most automatic of the automated options to do with OmniFocus that I use is Mail Drop and I really, really use that. If you send me an email with a task in it, I’ll forward that straight into my OmniFocus To Do list. Apparently I’ve used that 1,977 times and the most recent was 3 hours ago. With a bit of digging and a Wolfram Alpha day-counting search, I can work out that this means that since I’ve had OmniFocus Mail Drop, I’ve used 2.89 times a day on average. I am truly astonished that it is as low as that.

I started using it in December 2012 and there’s no way my little brain can remember how long it took to set up but looking at the process now, I’d say it was ten minutes with nine of them spent reading what I had to do. If you want to use it yourself, it’s free but you need OmniFocus and you should have a look at this Omni Group explanation.)

All of which is a long way to say a short thing: automation can speed up your work like nobody’s business but it takes time to do. So to roll out my favourite quote from The Simpsons, if you’re wondering whether to automate your work: “short answer yes with an if, long answer no with a but”.

If it takes you longer to automate something than this automation will save you, don’t do it. Except I really would not have predicted how much saving those steps by Drafts 4 would save me time and effort. Rather than just shrug and admit that your mileage will vary, let me show you the reason I wanted to say all this to you today:

How to use OmniFocus when you have to use Windows

I was saying this just last Thursday: if OmniFocus ran on Windows and Android as well as Macs and iOS, I’d just wear an OmniFocus teeshirt and point at my chest when asked how to be more productive. But it doesn’t and, besides, I like talking. So instead I ask you what computer and phone you’re on and if it’s the right answer, I tell you about this gorgeous and transformative software. And if it isn’t, I go um.

Here’s a group that didn’t stop at um. This is Asian Efficiency:

A lot of OmniFocus Premium Posts customers and OmniFocus users have been emailing us with one of their biggest challenges: they love OmniFocus but are forced to use Windows at work. What to do?

Well…you actually have a lot of options. Some workarounds are limited while others can make your workflow seamless. It really depends on the IT restrictions at work (firewall, forbidden web services, policies, etc) and how flexible you are.

None of these solutions are close to ideal (the best solution is to use a Mac at work) but some come pretty close. Some fixes only allow you to send stuff to OmniFocus (which is good enough for some people) whereas others want to use OmniFocus as their preferred task manager.

Just pick and choose the option that works for you. With that said, here are seven options available to you.
