How the things we have to do overwhelm us – and getting rid of it all again.

Oh, the pleasure I get from great software: it’s immeasurable and terribly surprising. Today the Omni Group released a new beta of OmniFocus and I shouldn’t talk about it. Not because I’ve signed anything, not because of spoilers, but because it is a bit mean of me when you can’t get the new version yet.
You will soon. You will.
But I’ve been waiting for one feature in this beta and was taken by surprise by another one.
The one I was expecting was that when this comes out in the next few days or weeks, we will finally be able to do a Review on the iPhone. Previously, Review was a feature of the Mac and iPad versions of OmniFocus but not the iPhone one. I’ve said this before and lamented it before and scratched my head before, but no longer.
It is weirdly freaky seeing such a familiar feature in an unfamiliar place. But then I’m also beta testing OmniOutliner which is coming to the iPhone for the first time ever. That is seriously odd, just seeing the icon my iPhone home screen. Mind you, it’s only odd in that one way. In every other way it is fantastic to have this app on my iPhone and it went straight onto my home screen.
The unfamiliar feature, the one that took me by surprise, was that the Omni Group has revamped how the iPhone and iPad handle Notification Centre. Previously, even just a few days ago, I wrote a piece for MacNN about Notification Centre and how To Do apps were using this. At that time, OmniFocus was doing okay with this thing: whatever you’re doing on your iOS device, just swipe your finger down from the top and you get Notification Centre. Within that, OmniFocus showed you the most urgent To Dos on your list.
Or it did. Now it can show you that or it can show you other things that you decide within the main app. I expect to be fiddling for days and I expect to be using Notification Centre more.
And every time I do, I promise I’ll feel rotten for saying there’s this great OmniFocus update and you can’t have it. Not yet. Not quite yet. But soon. Honest.
Yes. Compared to the start of the week, I am back working and back at least knowing exactly what I’ve got to do.
I’m not there yet and there is much still to do to repair the damage from delays, much to get me ahead again, much enough waiting for me that there are people who won’t believe I’m back.
I am, though, and as well as feeling better from the cold slipping away (after a month) I am feeling better for being on top of more things.
Not everything, not yet. But more. Nearly most.
Listen, this series has been an attempt to show you how to restart when everything has fallen down and you’re overwhelmed. I’d like to end it by telling you three lessons I’ve learnt:

They’re hard-won lessons but they’re won.
Okay, it’s 8am on Monday and clearly there is a problem. I am behind on everything, just everything, and there hasn’t been an article on The Blank Screen since 20 January. Equally clearly, I need to fix this.
Maybe slightly less clearly, I think I have to fix it in front of you.
It’s not that I imagine you’re riveted to details of what I’m up to but if you aren’t already struggling with getting more productive, you will be. You start this stuff and it’s great, you feel happier, but then it goes wrong and I’m realising you feel worse than you did back when you were just lurching through life and work.
Let me show you the fight and hopefully you’ll get something from it. Let me show you the fight and hopefully my knowing you’re there will help me stick at it.
A little bit of background, also known as an excuse. Just over three weeks ago, I got a cold. No question, it was just man flu but it knocked me off my feet. Or it should’ve done: I pressed on as well as I could and definitely that was a mistake. By chance I was mostly booked to be writing in my own office but I had four gigs outside and I vomited on the way to two of them.
Yesterday I thought this was all done, finally over, I felt recalled to life. And then mid-afternoon, bam. Desperately difficult to move. Appetite vanished. Increasingly ratty. In the end, I went to bed around 8pm and spent a very feverish night. Twelve hours later, the fever is gone, I have a what feels like a concussion headache and I’m unexpectedly snuffly. That was one thing I didn’t have during the main cold but I have it now.
I also have very obvious problems to do with getting work done.
First, I don’t look in OmniFocus.
That’s my usually beloved To Do app and every praise I’ve given it before is true, I just don’t dare look in it to see what I haven’t done yet.
The second was my email. I do the Inbox Zero thing where I deal with an email as soon as I see it: if I can reply there and then, I reply. If I can delete or archive it, wallop. If it needs a bit more work, I send it on to OmniFocus.
You can’t believe the pressure and the misery of seeing the emails build up after a couple of years of being on top of this stuff. At one point I had around 40 emails in that inbox and I would look at each of them, actually incapable of knowing what to do. Then a new one would come in from someone I just didn’t want to have to think about so I’d go away.
Early last week, I got those 40 down to 0 by doing the Inbox Zero lark and that’s great apart from how I’ve found it hard to keep it down. An email will come in that I know I need to reply to and I’m afraid I’ll forget but I haven’t the consciousness to do it now, so I’ve been leaving it there. And then we’re right back to the same problem.
Yesterday morning I replied to all the ones waiting and right now, this minute, I’m not looking at my emails at all.
I’m going to look at OmniFocus.
It’s going to be a mess.
I was re-organising my entire OmniFocus life when this hit so I know I have just the most gigantic mess of projects that I can abandon but haven’t, projects that are so late I will have to give up on them, just more and more projects. Actually, hang on, I can do this, let me check: right, OmniFocus tells me I have 76 projects and a current total of 2,993 tasks to do.
I’m going back to bed.
No, wait, get this done. Back in a sec.
Ha! Caught! If you just throw things in to OmniFocus they go into what’s called the inbox: just a growing list of things that you’ll think about later. Bung them in now when you think of them, later go back and decide what you’ll actually do. Decide that this is to do with your work and this for home, that this has a deadline and that doesn’t, all this sort of stuff. I am amazed and deeply relieved to find that I must’ve done this going back later.
For there were just seven things in the inbox. I tell you, face up to your fears, it works out. Especially as I’m not going to do three of the seven: they’re not needed now so I just deleted them. It also turns out that I’ve done two of what’s left so I tapped the Done button and felt good. That left two and one is a big job that’s going to take an hour. I admit I don’t feel up to that yet.
But the last of the seven was just that I meant to email thanks to someone. So I did it.
And that’s where I got caught: going in to email her meant that Mail got all the new emails that I’ve been avoiding looking at this morning.
I don’t know what I was afraid or of what exactly I was avoiding but there are – curiously – just seven emails in my inbox now. Brilliantly, six can be deleted immediately so they went to the trash with gusto. One was a thanks email to me so I read and enjoyed that but don’t need to reply so that’s now archived off.
An empty email inbox is a good thing.
OmniFocus is another. I’ve moved that hour-long job from the inbox and into today’s due tasks. I’ve ticked the thanks email as done, so I have an empty OmniFocus inbox too. But right now OmniFocus looks like this:
That doesn’t look awful at all: you can’t see the details but you can see I have five things to do today. Now, I know that doesn’t include one increasingly urgent problem though I admit I have no idea what to do about that. I feel I may look at that tomorrow.
But look toward the top left where it says Forecast. There’s 53 next to it. And just underneath, you can see I have 52 things I should’ve done in the past.
Now, actually I know I will have done a lot of that. Even in my worst moments I’ve kept on writing so I’m hopeful I’ll have done many of them and just need to tap Done. Okay, no, hang on, I’m being honest with you here so that I can be honest with myself. I feel like you’re holding my hand. Let me check the 52.
I’ve already done 33 of them.
I’m looking pretty smugly relieved here, aren’t I?
I shouldn’t.
Some 16 of those 33 are repeating tasks and I’ve done them yet definitely haven’t done them every day or every week or whatever it is. Actually, I can’t work out how many I have and haven’t repeated.
The bigger number in every sense is further down that same OmniFocus column: do you see where it says 74 projects? I told you I had 76. But this means there are 74 that I haven’t reviewed.
Reviewing is a great thing. You take a minute to look at the whole picture, everything you’re doing, and you add more tasks, you tick off ones that are done, you delete others, you really just get that whole picture in your head. See where you are with everything, make decisions about it all – and then forget the lot. Trust that OmniFocus is tracking everything you need. And instead you just look at doing today’s five things.
The trouble is that reviews take more than a minute, especially when you have 74 projects to look at.
What I need to do is review them all once and then as I go through each one, decide when I want to review them next. Every project must be reviewed but you can say how often. So, for instance, there are certain financial things I review every second day. I keep my shopping list in OmniFocus but I’ve told it to make me review that once a year.
I must go through the rest so that they pop up as needing reviews in some more manageable way. A few a day, for instance. I’ll get on that.
But not today.
Today I am truly struggling so what I’ve just done is create a single To Do task called Monday. I’ve written in it the few things that I truly cannot leave plus some notes about them.
This is not how to use OmniFocus. But it will get me through today. See you tomorrow?
This isn’t an award show. There isn’t a single winner nor even a short list, really. Actually, as lists go it’s rubbish from the sense that to get on the list you just had to be named. But it’s also therefore comprehensive and you know that every app on Reddit’s selection is there through passion.
Maybe sometimes the passion of the manufacturers but usually the passion of a genuine Reddit user.
Take a look at the whole list – and yes, OmniFocus is right there.
This made me sit up. The Omni Group is revamping its productivity apps and bringing ones to the iPhone that have only ever been on the iPad – and that now includes OmniFocus.
OmniFocus is a To Do app that has long, long, long been on iPhone and I’ve used it pretty much hourly for the past three years. But when there were three versions of the app – one for iPhone, one for iPad and one for Mac – it used to be that they each had differences. Each were best for certain things. The iPhone one, for instance, was best for adding new tasks on the go and looking up the next thing you needed to do.
It specifically lacked a feature called Review where you go through every task in every job and make decisions about whether to keep them, whether to do them, whether you need to do anything else. This is a fairly quick thing to do but you tend to do it when you’re in a fairly reflective mood and don’t have new tasks flying at you from everywhere. So the Review feature was on the iPad and the Mac versions of OmniFocus and it didn’t exist at all on the iPhone one.
“That’s a really important feature and I think a big omission from the iPhone OmniFocus” I said back in September 2014’s If you can buy only one OmniFocus, get the iPad version. Not anymore.
The Omni Group recently announced that it was bringing all its iPad apps to the iPhone and like anyone else, I didn’t think of OmniFocus because it was already there. I am keen to see OmniOutliner, that’s the one I was looking forward to and in fact I am beta testing it right now. But otherwise there is the project planning app OmniPlan and a diagramming tool called OmniGraffle, that’s what I assumed was coming to iPhone.
Today the company announced that OmniFocus is coming too. All of the company’s apps are coming to iPhone and they’re coming in Universal versions which means:
Since all of the apps in the Omni Productivity Pack will run on both iPad and iPhone, there will no longer be any need to purchase a separate app just to run OmniFocus on iPhone. The price for the new Universal app will be just $39.99 (a savings of $9.99 compared to the current two-app pricing for customers using OmniFocus on both devices)—and it will be a free upgrade for anyone currently using OmniFocus 2 for iPad.
I’m not honestly fussed about the pricing because this stuff is so useful to me that it’s now just a mandatory purchase. But:
Customers who want to upgrade from the iPhone app to the Universal one can simply pay the difference in the prices by taking advantage of a $20 Complete My Bundle option we’ll make available. Of course, we’ll continue to update OmniFocus 2 for iPhone, but Pro features such as custom perspectives will only be available in the Universal app.
I have all three versions of OmniFocus available today and I use them all, all of them, constantly. So for me I’ll just be using a new version of OmniFocus for iPhone some day shortly. Which I realise means I will actually delete the old iPhone-only edition. That’s not something I thought I’d be saying to you: I’m actually going to delete a version of OmniFocus.
That’s practically a Dear Diary moment. Not sure when it will be but as I say, I am on the beta test for OmniOutliner for iPhone so it’s well along and I’m expecting the shipping products to be out in the next couple of months.
So, previously I’ve faced up to how by the end of 2014 my OmniFocus To Do database was in a right state. And I’ve been doing something about it. By now I should have my shiny 2015 database up and running – but I don’t.
I also don’t have my messy old 2014 one. I have something from in between 2014 and 2015.
It’s because a) I went through the old one ticking off what I’d done and what I was going to delete and 2) I ran out of time because of deadlines. For the last couple of days I’ve been working from the old database but with its shiny new polish. And it’s been working really well.
Even just doing this much, I am feeling on top of things again. Which, as I’ve said before, is the real benefit of OmniFocus. Above feature set and specifications, if it can make you feel this good about what you’re doing and what plates you’re spinning, I’m happy.
But I must just move it on to a new set of 2015 folders. I must. I will.
Previously… 2014 ended with my OmniFocus To Do database so overstuffed that I wasn’t using the app enough. Now I’m decluttering and yesterday this began with a mindmap of all I have to do, all the plates I care about spinning, and all the stuff that I can ditch. Now read on.
It turns out that it’s rather hard to start over again on OmniFocus unless you really, really start over from scratch: back up your database and then delete it. Go from my current 2,513 things to do and 88 projects to do them in down to 0.
That is what I should do. But it isn’t what I’m going to do.
Instead, I’m going to greate one massive new folder, probably called 2015, then I’ll create subfolders for everything that I want to survive into the new plan. It just occurs to me that I did that mind map in MindNode which is capable of saving the image as text – nice for a text-thinking kinda guy like me but also handy because that text can go into OmniOutliner. Let me piddle about with it in that for a bit and then through the Mac version of it take that outline directly into OmniFocus. Have that create the subfolders for me.
Then I’ll move all the tasks over that I want to move over. In case I miss something important, I’ll bung everything else into a bucket folder and leave them there until I do that thing where you suddenly realise how stupid you’ve been deleting things.
But.
This is a lot of work, isn’t it?
Good.
Because I spent this evening going through my current 2014-style OmniFocus database and looking only at two places. One is the general catch-all inbox: when you’re in a hurry and adding tasks through the apps themselves, via Siri, through email and other ways, they land in the inbox and later on you sort them out a bit. Say that this task about getting a venue is to do with this event while that one about chasing payment is to do with your invoicing. You don’t need to do any of that, but it helps because you can then sit down and think, right, cracks-knuckles, this morning I’m doing everything to do with that event.
I had just under 30 things in my inbox to sort out. I’d done about 17 of them – as in actually done the tasks, not sorted or assigned to something, I’d gone out and done them. I deleted a few others, then assigned the rest to the various projects like particular events, particular jobs. One or two I put a definite deadline date on.
When you do that, those tasks turn up on what’s called the Forecast. Tap on that and you see everything task you have stated must happen today. Or in my case, a lot of yesterday’s. I clicked on the Forecast view and it was telling me I was behind on 60 tasks.
I can’t remember now how many it turned out I’d already done but enough. The rest I took the dates off entirely or I pushed to certain days this week when I know I can do them. I ended up with about 7 that I just went and did.
Again, this is a lot of work, isn’t it? But good – because tonight, just doing this, I feel much more in control of everything. This is the boon of OmniFocus: you can tell me about its features but it’s how it leaves you feeling good that matters.
That’s what I want all the time. Not to spend hours in OmniFocus but to spend a few moments there regularly and thereby be in charge of everything, feel in charge of everything.
It’s enough for tonight, though. Tomorrow, I press on – and I’m going to use a few tips from David Sparks’ OmniFocus Video Field Guide. I wonder if he’s done one about Evernote?
It’s the Baader-Meinhof Phenomenon: when you hear about something, you then seem to hear about it a lot. (I know. It’s weird that a psychology idea is named after a terrorist organisation but it is, so.) With my own need to restart how I use OmniFocus pressing on my head, I just found this via the excellent SimplicityIsBliss.com. As with so many things to do with software, I don’t think every detail of it is right for me but there’s a lot of good ideas in here.
And that’s especially true if you have or are considering OmniFocus but don’t know or don’t want to know the Getting Things Done (GTD) system that it follows:
do not use OmniFocus the GTD way (at least I do not think I do given that I have not read the book). I do use OmniFocus the way that works best for me.
OmniFocus and this my way workflow ensures that I never forget a task, a commitment or an action, mine and others. It keeps me focussed on what I need to be doing now. It reminds me what to do next. It helps build an agenda for what to discuss with people, and what was talked about before. It helps me know what was done and why.
Without it, I could not manage the myriad of projects, tasks, actions, commitments and reminders I deal with every day. And to make things even better, OmniFocus 2 evolved towards my way and added ease of use and features where my way needed it the most. I am sure that for many of you of you, the GTD way works well. For others, you have your own ways to use OmniFocus. This was mine.

I think this is digital decluttering. And like all decluttering, I already know which of it I’m going to put off. My Evernote is a steaming mess of about 4,000 notes with 800 of them in the inbox and if it weren’t for the software’s very good search feature, I’d be regularly sunk. But it does have good search, I am not sunk, it can wait another day.
Whereas I’m starting over with OmniFocus.
This is my rather beloved to do app and I put my ability to cope with lots of projects entirely down to this software. But one big new project came in December and is hopefully continuing for a long time. I have two meetings this month that should lead to one enormous project and one gigantically enormous series of projects. Can’t wait.
Plus one big change at the end of 2014 meant a thing I do that has been albatross-shaped is pretty much entirely gone. I’ve walked away from a thing and am feeling so good about it that I think might even start to enjoy saying no.
But.
One bad project gone, one new one in, two new ones looming and most things churning over, it is time to apply that ability to say no. Time to review everything and chuck out what I don’t want to do, what I am not going to get to.
And the reason to do it is not that I’m some kind of OCD-based guy who needs everything in its place. I refer you to the steaming mess of Evernote above. The reason is that lately there has been so much in OmniFocus – I have added so much – that I’ve stopped checking it. You shouldn’t have your head in OmniFocus all day but you really should look at it from time to time. A very sensible thing to do is look at it first thing in the morning, for instance, and that’s where I go wrong.
When you have a lot on and some of it is pressing at you terribly, you go straight to the keys and you start working on that. If checking OmniFocus were a quick thing, as it is built to be, as it is intended to be, then two minutes checking that while I boil the kettle will help my day astonishingly.
I’ve been looking through my OmniFocus now and can tell you that I have 2,513 things to do and they’re arranged in 88 projects. It could be worse: while I was looking, I ticked off something like 30 tasks that I’ve actually done and just not got around to noting.

That is a mind map I did over Christmas: it’s a visual representation of everything I was working on at the end of 2014 and my only hope is that the image is too small for you to see the details. What I want you to see is how steamingly messy it all is. And I want you to see it so that you are hopefully nodding when you see this next shot, which is how I’m doing the projects for 2015:
Is that better? It’s certainly duller with all those colours reduced to just a couple. But I did this in an app called MindNode, which I do recommend a lot, and it chooses the colours. Add a new thing, it gives you a new colour. So that overall purpleness is not a choice, it is a consequence of my collapsing things into fewer categories, fewer projects.
Next job: translate that mindmap into OmniFocus folders and projects. Back in a bit.
