Favourite productivity apps now (briefly) on sale

There’s a bunch of productivity apps that have just had price reductions. As ever, the price of these is rarely all that much so if you miss a sale, shrug and buy at the full price anyway. But if you’ve been havering over any of them or you just want to try a category of app out, this is a good time.

MindNode
Mind-mapping software that plays very nicely with outliners and To Do lists such as OmniOutliner and OmniFocus. It’s now £2.99 UK or $4.99 US instead of £6.99 UK or $9.99 US

Appigo ToDo
This was the app I lived in before discovering OmniFocus. There’s a huge amount to love in it and I did deeply love it, I’ve just found OmniFocus is a far better fit for me. Since I moved on, Appigo has released a range of versions and I get a bit confused – some have Cloud syncing, some are for older devices – so read the release notes before you buy. But this one is now £1.29 UK or $1.99 US instead of £2.49 UK and $4.99 US

iDatabase
Never used it. Never heard of it. But it went on sale today and I’ve already told three people it looks worth a go – and they’ve all bought it. One has bought and is sold: it’s just what she needed. Now 69p UK, 99c US instead of £1.49 UK or

Very important: this is for the iPhone version of iDatabase and you’ll benefit from having the Mac version too – and that’s on sale as well. It’s an even bigger sale: iDatabase for Mac is now £1.99 UK instead of £13.99 UK ($2.99 US instead of $19.99 US) and the second I found that out while looking up the price for you, I bought it myself.

Fantastical 2 for iPad
The app that finally got me to change away from the regular Apple Calendar on both my iPhone and my iPad. Buy the iPad version now for £5.49 UK or $7.99 US instead of the usual £6.99 UK or $9.99 US and you’ll be buying the iPhone one soon. Right now that is also on sale: £2.99 UK or $4.99 US instead of £6.99 UK or $9.99 US.

Launch Centre Pro and Launch Center Pro for iPad
Use this to set up one button that, say, rings your mother. Instead of tapping on the phone icon on your iPhone, then contacts, then scrolling to your mother’s name and finally tapping on whether you want to ring her mobile or her landline, you just tap once and your iPhone does the rest. Maybe that would be handy enough for you but LCP can get really powerful – also, disclaimer, I found it a bit confusing – and it can do all sorts of things for you. Ridiculously detailed things.

I recommend you take a look but, confession, I keep popping it back onto my iPhone home screen and taking it off again. The biggest use I had for it was rapidly adding a new task to OmniFocus and it was faster than going through OmniFocus itself and tapping on Add Task. But now OmniFocus 2 for iPhone is so quick, I just don’t find the benefit.

Launch Centre Pro and Launch Centre Pro for iPad (two separate apps) are both $1.99 US now instead of $4.99 US

Take a potter around the App Store’s productivity category for more, but these are the best ones.

Fantastical 2 for iOS updated

Fantastical 2 for iPad and iPhone is today updated to version 2.1 and unless you’ve taken steps to stop it, the app has already updated itself on your iOS devices. Because it’s automatic, it’s easy to not realise that it’s a significant upgrade or actually to notice that it has happened at all.

But the maker says that this version:

I don’t use Fantastical 2 for reminders and this won’t change my habits. But otherwise I swear by this app and recommend it hugely.

Plus, for a brief introductory period, the new version 2.1 is reduced in price by 50%. (Just like the Mac version.)

So that makes Fantastical 2.1 for iPhone currently cost just £2.99 UK or $4.99 US and Fantastical 2.1 for iPad now £6.99 UK or $9.99 US.

Fantastical for Mac (briefly) half price

This is the Mac version of the genuinely acclaimed calendar software. I use Fantastical 2 for iPhone and iPad a lot and it took a lot to get me to try it. Apple’s iPhones and iPads ship with a calendar that I’m happy with so to even get me to look at another, less then getting me to change over to it, tells me a lot about how useful Fantastical is.

And yet I’ve not bought it on the Mac yet. On iOS devices, it works in the same way as the regular calendar – its functions are better, I would say, but it’s an app and it fills your screen, it’s the same in that sense. On a Mac, though, not so much. Back in April when I had realised my love for Fantastical 2 for iPhone was true, I explained my reasons for not buying the Mac one thisaway:

I don’t need Apple’s Calendar any more. Not on my iPhone and iPad. It’s still the calendar I use on my Mac: currently Fantastical for Mac is a menu drop down and I think I heard it may become a more fully-fledged app so while I continue getting used to it, I’ll stick with what I’ve got.

We’re now a few months on and Fantastical 2 for iOS has been updated, there’s no sign of a new version for the Mac. Plus, the current version looks rather good. I should bite a bullet and try it – and now is the right time since it’s on sale for half price.

That makes it £6.99 UK or $9.99 US on the Mac App Store.

Just a thought about software

It’s easy to hear that you can speed up your work with tools like TextExpander or Keyboard Maestro and then either feel overwhelmed with trying to learn them or just find that you spend so much time playing that you don’t write enough.

Take on one new piece of software at a time. When it becomes like breathing, then try the next one.

And for each you try, don’t study them. Read the examples of what they can do, pick one that sounds useful to you, use that. Nothing else.

It sounds wrong: you spend a tonne of money and you’re only using it for this one piddly thing? But studying software doesn’t work. Needing it for a particular job does. When you need the software to do more, use it for more. You learn it because you’re actively using it for a purpose, you absorb it because it makes sense to you.

And remember above all else: using software is a lot easier than writing.

Five paid apps to replace free Apple ones

They’ve got to be good to be worth buying for cold hard cash when you already have Apple’s own apps that do exactly the same thing. Yes. They are. This is Cult of Mac round up for nearly half a dozen such very good apps.

I’d like you watch this even if you have previously had no intention of replacing your existing free apps with new paid ones. Because I was like that, I thought I was still like it: since my iPhone comes with a calendar, for instance, and I actually find it fine, I resisted changing.

But now of the five they mention here, I’m already and regularly using two; Dark Sky and Fantastical 2. See why, and what else might go next:

The 5 tools you need for writing, definitely

Actually, you could do this with three and those would be:

1) Computer
PCs are cheaper, Macs are better. I vote Mac because I put a big value on the time I no longer have to spend piddling about getting Windows to damn well work. But Macs don’t suit everyone; if you like piddling, save yourself some bucks and get more geeky enjoyment with a PC.

But.

If you’re buying a PC, you have a million options and every one ends up with you having to make a choice between models that have some clear and obvious difference like a 1Mhz speed increase or something. Ignore salespeople, they will – seriously – just read you the spec sheet you were already puzzling over. Instead, ask a friend who has one, get their recommendation and then see if you can find it on the end of this Amazon UK link. That way, if it all works out for you, I get some pennies from your having bought this way and if it doesn’t, it’s your friend who gets your support calls. Everybody wins and it costs me nothing.

If you’re buying a Mac, you’ve fewer options and they always end up with you needing to make a choice between two very similar models. In all cases, save money by buying the cheaper processor speed and spend money on extra RAM and extra storage space. You’ll thank me later, which is nice as I am going to suggest an Amazon link – here it is, do check this out – but I also think you should go into an Apple Store and ask there.

If you’re looking at me like that for the bit about processor speeds and RAM, Apple Store staff will just tell you straight what Macs are good for and not so good for. They’ll ask what you expect to be doing with Mac: be honest. Tell them straight that you should be writing but you’re going to distract yourself with a photography habit that you only do to be social, that you can stop any time.

They will translate processor speeds – actually, no, they won’t bother translating, they’ll just tell you what it means in terms you can use. And Apple Store staff are not on commission so they’ll push this stuff but it’s more from genuine enthusiasm.

Last, if you’re havering between a laptop, desktop or tablet computer, they all work, they all do the job. You will just typically get more done on the desktop, you will be substantially freer with the laptop and the iPad will do everything, everywhere but you need to think about it more as you go.

2) Word processor
Microsoft Word if you have to, if it’s already on your computer or if you know you like it. Google Docs is fine, if a bit clunky looking. If you did buy a Mac, you’ve just got yourself a word processor called Pages and the odds are that you may never need anything else.

3) Email
How else are you going to deliver work? It’s also great for pitches. Just for god’s sake make sure you get a sensible email address.

Get and use these three and you’re away to the races. But I’d recommend two more:

4) Somewhere to track what and where and when your work is
I track invoices in the Numbers spreadsheet and jobs in Evernote. I track tasks in OmniFocus and I keep an eye on my week with Calendar in Mac OS X.

So this would be one of the five tools and I’m saying it’s – wait, counts on fingers – four different applications. Yes. You could do it all in your word processor though. And the time it would take you to pick up and figure out all these applications would probably be better spent at first on learning what your word processor can do. You’re smart, you can use anything but they all have nooks and crannies that are worth exploring for how they may be able to speed up your work.

When you know your word processor well, though, then start branching out into these others.

5) Kettle

1Password for Android coming 10 June

From the official Agile Bits blog:

1Password 4 for Android arrives on Tuesday, June 10. It is an entirely new and full-featured app, built for both phones and tablets!

It is also an experiment. All new features will be unlocked and free for everyone to use through August 1, 2014. After that, 1Password 4 for Android will go into a reader mode, and all features can be unlocked for an in-app purchase.

Breaking – OmniFocus 2 for Mac releasing today

More details as soon as it’s out – give me five seconds to go buy it myself then I’ll get right back to you – but the new OmniFocus 2 for Mac is being released today. It’ll be on the Mac App Store but get it from the maker instead, the Omni Group at www.omnigroup.com.

It’s coming out at 9am PDT which I reckon is about 5pm BST but I wouldn’t count on my maths even when I’m not excited.

That sounds strange, even to my ears: the idea of being excited about software. Yet the only real surprise to me is that I am this thrilled when I’ve already been using the beta version for months.

But I’ve used that beta on the Mac for those months, I used the previous version 1 on the Mac for a year or more, and there hasn’t been a day – sometimes not even an hour – that I haven’t used OmniFocus for iPhone or iPad in about two years.

I’m particularly glad about today’s launch because I’m running a full-day workshop of The Blank Screen today for the Federation of Entertainment Unions – the Writers’ Guild, NUJ, Equity and Musicians’ Guild – and this will come up. OmniFocus always comes up, the company couldn’t get more adverts from me if they paid, but I have been hesitating in every single The Blank Screen workshop. That’s partly because OmniFocus only runs on Apple gear; if it were on PCs and Android too, I’d be trying to distribute copies.

But the other reason has been that the Mac version was hugely powerful yet very hard to use. You don’t often hear that said about Mac software, but it was. So I used to be torn over recommending it, especially as it’s expensive.

Now I can tell you from experience that the new OmniFocus 2 for Mac is much easier. There’s still a lot to it but it makes sense and it works how you will expect.

There’s just one more thing. It used to be that the iPad version of OmniFocus was the best of three but now the Mac one is coming out and we’ve had a revamped iPhone one for a few months. Today I’d say the Mac version is the best.

But the company confirms a revamped iPad one is coming so the dance begins again.

Grab Word Lens right now – it’s suddenly free

It's the app that looked like a joke: point your iPhone camera at a sign written in French and on the screen, you see it in English. It's the universal translator of Star Trek or the Time Lord Gift of Doctor Who except that it is real. Like many, I downloaded the free app just to see if it were true and it was. But you get only a kind of demo limited unless you buy packs such as English to Russian. I can't remember how much those cost but it was enough that I put it off until I was going to a country. I never once remembered to do that.

Except.

Now we don't have to: the whole thing, in-app language packs and all, is free.

It's free because the development company has just been bought by Google. The mark has turned everything free and I am downloading it all right now.

I'm sure it won't remain free for long. I'm not sure whether it will continue as a separate app, though: you can well imagine that Google is intending to incorporate this technology into its other offerings. Fine. Good, even. But the current Word Lens app may not survive so grab it while you can.

It’s when an app fails that you realise how much you like it

TripIt_icon_flatThere are bad apps that you either ditch or tolerate. There are good apps that you use a lot. Then there are great ones that you use so much you forget that you’re using an app, it’s just the way things are. (I would offer that there are then even greater apps that are melded into your DNA: if I’m being harsh then I’d say only OmniFocus is like that with me, but isn’t it great that a tool can become so much a part of your life?)

Right up there in the so-great category for me is TripIt and I only appreciated that this week when it failed on me.

This is what is supposed to happen:

  • Make any travel booking anywhere and get an email ticket from ’em
  • Forward that email to plans@tripit.com
  • TripIt parses the ticket and pops every detail into your TripIt account
  • When you’re travelling, see everything you need on your iPhone

That last doesn’t sound so great but, seriously, it is. I had a thing where I was travelling from Birmingham in the UK to a village in the deepest part of southern France and it meant a lot of train rides and a lot of connections. Many of them were easy and great – I especially loved that I got a couple of hours in Paris both ways – but some were very, very, very tight. There was one where I had six minutes to get across what turned out to be a giant train station on multiple levels and though the guard I asked turned out to speak fantastic English, he also told me the wrong thing. Please picture me running, running and eventually sliding, sliding, sliding Charlie-Brown-like onto my train.

I do remember stopping on the way to help a woman carry an enormous suitcase up some stairs. So, you know, give me credit there: I may have made a mistake booking trains too close together but I’m a mensch under pressure.

What helped me throughout the whole journey was that I could look at TripIt on my iPhone at any time and be shown exactly what I had to do next. What the next train was, where it was, where it was going, what my seat reservation was, any booking references I needed, all that. I could choose to look at any or all of the steps in my journey so if something came up I’d be able to judge if I had the time to do it.

I’m not going to say that it made the journey pleasant when in fact the whole journey was great anyway, but it was a help and a guide and it became automatic that I would check TripIt along the way.

However.

It gets all this information from your email ticket. It parses that ticket: goes through it looking for departure times, train or airline reference numbers and so on. Fine. It’s handy that you just forward your ticket email to plans@tripit.com. (And clever that it’s always that same address: I can show you that address. It’s not a secret one like Evernote or OmniFocus use to let you email details in, it’s a big wide-open for-everyone email address and the smarts are in how it also parses who sent it. If I forward an email to plans@tripit.com, the service sees it’s from me and the details are popped into my account.)

Ticket emails differ between companies, though. TripIt is really good at this parsing but it gets thrown by two things: firstly a company it hasn’t parsed before and secondly if a company changes the layout of its emails. TripIt is an American service and I’m based in the UK so I’m not surprised that I occasionally hit companies that it doesn’t know. When that happens, TripIt sends you a warning that it couldn’t do anything with this stuff and that it has instead kept a copy of that entire ticket email in your account’s notes section. So at least you can see that.

But this week I booked a flight via Tripster and TripIt fell over. It believed it had parsed the email correctly, I got the regular TripIt success confirmation rather than any warnings, but it hadn’t. It believed my flight was tomorrow, it believed there was no seat or airline or reservation number. It was as close to a blank item in my travel itinerary as could be.

But TripIt is so useful when you’re travelling, so very useful, that I’ve taken the time to enter all the details for this trip by hand. Man, it was boring. And the knowledge that I will rely on this detail later actually made me nervous of entering it all, of not making any mistakes.

TripIt usually enters all my details for all my trips and it usually never goes wrong. I know I’m telling you of a time that it failed and that it was a boring time because of that, but it’s made me appreciate how good this app and this service is.

Let me quickly tell you that you can join the TripIt website for free and that there is a free app. I used that free app for years even though I don’t like ad-supported ones: I’d rather pay than have ads, I find them that intrusive. For those years, the choice, though, was between an ad-supported free app or a Pro version that required an annual subscription. I seem to travel more and more, but it’s still not enough for that.

However, at some point the company caved and released an app that you pay for but only pay that once. No subscription. It’s got an ungainly name: it’s called TripIt Travel Organizer (no ads) but it costs only 69p UK or 99c US. When I bought it I paid £2.49 and I still paid up before I’d reached the end of the sentence telling me it existed.

So: I thoroughly recommend, verging on urge you to use the TripIt website and this particular TripIt app.
